The Department of Foreign Affairs (DFA) implemented an online appointment system where all Philippine Passport applicants whether it is new or for renewal will set scheduled appointments before visiting the desired DFA office. The online appointment system was first put into effect in some branches inside Metro Manila.


The problem now is the DFA passport appointment system sometimes experiences glitches, I experience it myself when I am going to book an appointment for the renewal of my passport. Errors like the session expired even if you are in the timeframe given to fill out the form.

Another problem I experience is that when I am going for the payment part the session on my browser expires again, and when I fill it out again it says that I have already an appointment. And there’s no option to cancel the appointment because you need the appointment code which you will receive after the payment.

These are common problems faced by most who use the DFA passport appointment system. In this article, I will write about how to cancel an appointment in DFA.

If you need to cancel your DFA passport appointment, the process is straightforward. Whether you’ve encountered scheduling conflicts or simply need to reschedule, here’s how to cancel your appointment:

Step 1: Visit the DFA Appointment Website

Go to the DFA’s online passport appointment system, passport.gov.ph where you initially booked your appointment.

Step 2: Click on “View Appointment”

Once on the website, locate and click the option that allows you to view your existing appointment.

Step 3: Input Your Details

You will need to provide Appointment code, email address

Step 4: Choose “Cancel Appointment”

After accessing your appointment details, select the “Cancel Appointment” option.

Step 5: Confirm the Cancellation

The system will ask for a confirmation of your cancellation. Once confirmed, you’ll receive an email stating that your DFA appointment has been successfully canceled.

Important Reminders:

  • 24-hour Cancellation Rule: Make sure to cancel your appointment at least 24 hours before the scheduled date to allow the system to update and make your slot available for others.
  • No Refund Policy: If you’ve already paid for your passport fees, note that the DFA does not issue refunds for canceled appointments.

How to Cancel an Appointment in DFA without an Appointment Code?

To cancel an appointment without the appointment code, you have these options:

Option 1. Wait 24 to 72 hours

Your appointment record will automatically canceled after 24 hours if you do not pay. The system will erase your records and make an appointment again. The problem is is you are in a hurry and you need to book an appointment ASAP. You can try option number 2.

Option 2. Contact DFA

If you don’t have time to wait 24 hours you can contact the DFA, but the DFA does not provide a direct phone number for appointment scheduling, as the process is primarily handled through the online system. However, for inquiries or assistance related to passport appointments, you may contact them at the following:

Explain your situation why you don’t have the appointment code and why you need to cancel your existing appointment, provide all the details needed and as much information as possible, including your full name, birthdate, and email address used for booking.

Step 2. Choose Group Appointment: Select the option for a Group Appointment. Group appointments are typically for families or groups of up to 5 members.

Step 3. Enter Group Details: Provide the required personal details for each member of your group. You will need each individual’s: Full name, Date of birth, Nationality, Contact details, Passport details (if renewing)

Step 4. Select Your Preferred Schedule and Location: Choose an available date and DFA branch for your group appointment.

Step 5. Pay the Processing Fee: Once your appointment is confirmed, follow the payment instructions to pay for each member of the group. Payment can be made through GCash, Maya and several authorized payment centers.

Step 6. Wait for Confirmation: After completing the payment, you will receive an email confirming your group appointment with the details for each member.

Important Notes:

  • The group appointment should be managed by one individual who acts as the main point of contact.
  • Each group member must bring all necessary documents to the appointment (valid ID, birth certificate, etc.).
  • If the payment for the previous appointment was not completed, it might be canceled automatically within 24 hours

  • No Guarantee of New Slot: If you cancel your existing appointment, you risk not finding an earlier (or convenient) date. Appointment slots can fill up quickly, especially in busy locations or times of the year.
  • Payment Non-refundable: If you cancel your appointment and fail to secure a new one, you will lose your original appointment, and the payment made for that appointment is non-refundable and non-transferable. You will have to make a new payment for the next appointment.

If you’re unsure whether you will find a better date and don’t want to risk losing your original appointment, it may be safer to keep the current one.

5. Can I change the passport appointment location after canceling the appointment?

  5. Bakit po nacancancel ang appointment if you fail to confirm reschedule? I tried to reschedule my appointment but failed to confirm it. I just thought na nacancel lang yung resched so i went on dfa on my original sched. But wala na yung name ko sa list. The saddest part is tapos ko nang bayaran yung 1000 na payment and dfa manila told me na cancel na yung appointment and forfeited na yung binayad ko. Sayang yung time and yung binayad ko. ????

  6. Hello po, nagpaschedule ako kanina, pero hindi nakaabot sa payment info page at hindi nakataos ng appointment process. Nung nirefresh ko yung page for ang sabi may appointment na raw ako, pero wala po akong nakuhang reference number for payment. Hindi pa ako tapos sa process pero po pending na yung appointment sched. Saan po ako kukuha ng reference number? Makacancel po ba yun if hindi ako nagbayad? Salamat.

      a. You can only reschedule weekday appointment to another weekday;
      b. You can only reschedule once; and
      c. Rescheduling is subject to availability of appointment slots.
